Overview

Engineering IT provides support for A/V equipped conference rooms and classrooms.

The below will be provided for conference rooms and classrooms. A conference room or classroom has no more than two computers with a primary use of projection during meetings or class.

Features

  • Design and Implementation: Engineering IT can provide expert advice and coordination for classroom and conference room designs. Engineering IT staff will work with the users to understand their system requirements and assist in identifying appropriate hardware, software, and physical layouts. Engineering IT will work with Technology Services to coordinate design and installation.
  • Life-Cycle Upgrades & Replacements: Engineering IT can provide expert advice and coordination for life-cycle upgrades and replacement for A/V equipment in rooms. Engineering IT staff will work with the users to provide an upgrade plan based on department requirements, technology changes, and ease of use.
  • Resident PCs: Engineering IT will handle configuration, ordering, receiving, and setup of computer software and hardware (through the Desktop Replacement Program).
  • Conference Phones: Upon request, Engineering IT will recommend a physical conference phone and coordinate with the departmental TUC to setup a Lync account and networking appropriate for the physical location and intended use.
  • Basic User Training: Engineering IT will provide basic instruction in the use of equipment to faculty and staff of the department (individually or by group) upon request.
  • Troubleshooting & Problem Response: Engineering IT will troubleshoot and resolve software and hardware issues on supported systems to the best of our combined abilities. In progress events will be attended to in a timely manner over the phone and/or in-person to the best of our combined abilities.  
  • Periodic Preventative Maintenance: Engineering IT will provide periodic checks of A/V systems to ensure proper working order.
  • A/V System Monitoring: Engineering IT will provide A/V system monitoring to rooms equipped with compatible hardware and network connections. Monitoring allows Engineering to coordinate and perform maintenance before system failures occur.
  • Liaison to Technology Services at Illinois: Engineering IT will act as the liaison to Technology Services for General Assignment rooms located in Engineering buildings, services that Technology Services must provide, and other A/V consultation and design needs.

Service Hours

In general, requests will receive a response within one business day, Monday through Friday, 8:30am to 5:00pm, excluding University holidays; however, please see the following exceptions:

  • Please provide at least one week (five business days) notice for user training.
  • Please provide at least one week (five business days) notice of major events so the system can be tested prior to the event.
    • See our Event Checklist for considerations and details about event support.
  • Troubleshooting and problem response for in-process events will be best effort, as it is understood these are time-critical needs.
  • For conference/classroom design: Engineering IT staff will respond within one business day. Resolution of requests will be highly variable as these projects vary considerably in scope and complexity.

Service Terms

The supported group must be willing to agree to the following terms:

  • Engineering IT-supported conference/classrooms are designed to be operated by end users with basic training. While Engineering IT will respond to unexpected outages, we cannot be on hand for every event.
  • Engineering IT is not staffed to provide support for conference rooms outside of normal business hours.
  • Engineering IT must be consulted on all new purchases or acquisitions of A/V equipment, computers, or software to be supported.
  • Engineering IT must have ‘administrator’ privileges on all supported computers.
  • Engineering IT must be provided afterhours access to rooms where A/V equipment is installed to provide periodic preventative maintenance (key or card access may need to be provided).
  • Engineering IT reserves the right to refuse support on hardware or software that is significantly past end-of-life (typically five years for PCs, ten years for Projectors and AV System Components).
  • Engineering IT will use standard configurations, including A/V designs, projectors, and Windows images.

  • Computers in conference rooms and classrooms are eligible for enrollment in the Desktop Replacement Program.

Departmental Instructional Labs:

  • For rooms with more than two computers or with the primary use not being projection.

Lecture/Presentation Capture:

  • For rooms that would like to add the ability to capture video and computer images of events/classes.
